An airport transfer booking checklist helps you send the details your driver needs in one message. Start with the date, flight number and pickup address. Then count the people and bags so the team can suggest a vehicle that fits.
Start with the flight and journey dates
For an airport pickup, share the flight number, arrival airport and scheduled landing time. Use the date you land, which can be different from the date you take off on an overnight flight. Also include the terminal if your airline lists one.
For a trip to the airport, give the departure time and the address where the driver should collect you. Check your airline’s guidance on when to arrive. Then work back from that time and discuss the pickup with the transfer team.
Count passengers and bags separately
List the number of passengers first. Then count checked cases and cabin bags separately. Mention larger items such as a pushchair, golf bag or folding wheelchair. A group can fit in the seats and still need extra room for bags.
If anyone needs help getting in or out of the car, describe what would make the journey easier. Also ask about any child seat requirements before confirming the vehicle.
Agree where to meet after landing
Landing time and pickup time are two different things. Allow time to leave the aircraft, collect checked bags and go through any arrival checks. Ask where to meet your driver and which number to call if you cannot find them.
Before you fly, save the meeting point and contact details on your phone. Also agree what to do if the flight changes or your bags take longer than expected. For terminal and airport guidance, see Birmingham Airport’s passenger FAQs.
Check the return as a separate journey
If you need a return transfer, send both sets of details. Your return flight may use a different terminal, and your group or luggage count may change. Also flag any extra stop, such as a second pickup address, before agreeing the itinerary.
Copy this checklist into your enquiry
- Journey date and whether you are arriving or departing
- Flight number, airport, terminal if known and scheduled flight time
- Pickup address and destination, including postcodes where available
- Passenger count, suitcase count and any larger items
- Any extra stops, access needs or child seat requests
- A contact number for the day and separate return details if needed
Once you have the details, see CarLux Hire’s chauffeur services and send your enquiry. Ask the team to confirm the vehicle, pickup time and meeting point before you travel.
